Terms of service

Last updated 5 October 2026

These terms are the agreement between your organisation and Nelotec (Pty) Ltd ("we", "us") for using nelopay: the web app, the mobile app and kiosk mode. By creating an account or using nelopay you accept them on behalf of your organisation.

1. Your account

You must be 18 or older and have the authority to bind the organisation you sign up for.

Keep your sign-in details, kiosk PINs and paired kiosk devices secure. You're responsible for what happens under your organisation's account, including what your team members and kiosks do. Tell us straight away at support@nelopay.co.za if you think someone has got in who shouldn't have.

Administrators decide who joins the team, their roles and which businesses they can use. Remove access when someone leaves.

2. Trial, plans and payment

New organisations get the Professional plan free for 14 days. No card is needed for the trial.

Paid plans are billed monthly in advance, in South African rand, through PayFast. Prices on our website and in the app show whether VAT is included. We never see or store your card details.

You can upgrade or downgrade at any time; we show the effect on your next payment before you confirm. If you cancel, your plan runs until the end of the month you've paid for and isn't renewed. Except where the law requires otherwise, we don't refund part months.

We may change prices with at least 30 days' notice by email. The new price applies from your next billing date after the notice period.

Each plan has limits (for example documents per month, businesses and team members). If a trial ends or a payment fails and isn't resolved, your organisation becomes read-only: you can still sign in, view and export your data, but not create or change records until a plan is active again.

3. Your data

Everything you put into nelopay (clients, documents, payments, products, ledger entries, employees and payslips) stays yours. You can export it at any time from Settings → Account & data.

You give us permission to store, process and back up that data only to run, secure and support the service for you. We don't sell it or use it for advertising.

For personal information about your own customers, employees and suppliers, you are the responsible party under POPIA and we process it as your operator, on your instructions. You confirm that you're allowed to give us that information. Our privacy policy explains how we look after it.

4. Acceptable use

Don't use nelopay to break the law, to issue false or misleading tax invoices, to send spam, to store content you have no right to, or to attack, overload, copy or reverse-engineer the service.

Don't try to reach another organisation's data, share accounts between organisations, or get around plan limits.

We may suspend an account that puts the service or other customers at risk. Where we can, we'll tell you first and give you a chance to fix the problem.

5. Tax, accounting and payroll

nelopay helps you prepare invoices, keep books and calculate payroll; it doesn't give tax, accounting, legal or financial advice. You remain responsible for your VAT, PAYE, UIF and SDL submissions to SARS, your financial statements, and for checking the figures before you rely on them.

Tax tables and rates in the app are kept up to date in good faith. If you find something wrong, tell us and use the correct figure.

6. Kiosk mode and payments

Kiosk mode records sales and the way the customer paid. Card, EFT and QR payments are taken on your own card machine or payment app; nelopay only records them and doesn't process or guarantee them.

Each kiosk sale is issued as a tax invoice in your name. Make sure kiosk staff use their own PINs, and unpair devices you no longer use.

7. Availability, support and changes

We aim to keep nelopay available all the time and back up your data regularly, but we can't promise it will never be interrupted. We schedule maintenance for quiet times where we can.

Support is by email at support@nelopay.co.za.

We improve the product continually and may change or retire features. If a change materially reduces what your paid plan includes, we'll tell you in advance.

8. Other services

Some parts of nelopay rely on other providers, such as PayFast for subscription payments, Google if you choose to sign in with Google, and our email and hosting providers. Their own terms apply to how they provide those parts.

9. Liability

To the extent the law allows, we aren't liable for indirect or consequential loss (such as lost profit or lost data that you could have restored from an export), and our total liability for any claim is limited to the fees your organisation paid us in the 12 months before the claim arose.

Nothing in these terms limits rights you have under the Consumer Protection Act, where it applies to you, or liability that can't be limited by law.

10. Closing your account

An administrator can close the organisation from Settings → Account & data. It becomes read-only for 30 days, during which you can export your data or change your mind, and then it closes and nobody can sign in. Your subscription is cancelled when you ask to close.

Team members can delete their own account at any time; the documents they created stay with the organisation.

What happens to data after closure, and how long we keep it, is set out in the privacy policy.

We may end these terms if you seriously break them and don't fix it after we've told you. You'll still be able to export your data for 30 days unless the law prevents it.

11. General

We may update these terms. For changes that matter, we'll email administrators at least 30 days before they apply; continuing to use nelopay after that means you accept them.

These terms are governed by the law of the Republic of South Africa, and the courts of South Africa have jurisdiction.
